Repeat-order consistency starts with a shared written specification and an approved physical sample. A colour number or grade name alone cannot define the finished product. Keep the attachment, shade, length, weight and pack format together on every reorder.

Create one product record
Give each approved combination a stable internal code. Record the extension method, PLUCHARM grade, shade reference, root or blend detail, length, finished grams and piece or strand count. Include attachment dimensions and handling instructions where relevant.
Keep a reference that can be compared
Store the approved sample away from moisture, sunlight and contamination. Keep dated photographs made in consistent light. For colour-sensitive orders, agree the physical reference rather than relying on images from different screens.
Require approval for a change
Ask for confirmation before the grade, shade, construction, weight or packaging is substituted. If a revised format is proposed, evaluate it as a new sample rather than allowing the old product code to hide the change.
Close the feedback loop
Check incoming quantities and a suitable sample of the delivered product against the order. Record differences by product code and batch or order reference. For a multi-location network, collect observations using the same fields so the next order reflects comparable feedback.
