Confirm payment terms on the written quotation before sending funds. Record the currency, payable amount, fees, payment milestones and what must be approved before production or dispatch. Payment methods and credit arrangements should never be inferred from a general blog post.
Make the quotation complete
List the product specification, quantity, product price, packaging cost, shipping charge and any items excluded from the quote. Identify the legal seller and the buyer details required for the invoice. Customs and import charges depend on the destination and the agreed shipping arrangement.
Check the payment instructions
Use the payment details on the confirmed order documents and verify unexpected changes through an established contact channel. Ask who bears transfer or conversion fees. Do not assume an instalment plan, trade credit or a particular deposit percentage is available unless it is agreed in writing.
Document changes before they happen
Request quantity, colour, packaging or destination changes as early as possible. The supplier should confirm feasibility, any revised price and the effect on timing. Custom production may limit cancellation options once materials or work have been committed; use the terms attached to your order.
Keep one order record
Retain the quotation, approval messages, invoice, payment record, shipping reference and any change confirmation. For repeat orders, use the approved SKU details rather than an informal description such as same as last time. Ask for a current quotation if the specification or order conditions change.
